Hello All, T&C's for the club are below; 1. Membership Membership of the HWGC shall be composed of: i. Administration Members who are actively running the club with respect to organising the venue, holding funds and purchasing club equipment ii. Game System Captains Members (as below) but specifically tasked as the “go to man” with reference to a game system. iii. Members Members are those who actively own a valid HWGC membership and as such have paid their subscription. iv. Visitors Visitors pay a fee per visit (£3.00) and do not hold any member rights. 2. Fees & Payment i. Visitors will be charged a session fee of £3.00 which is not dependent upon playing a game, i.e. the fee is charged whether you play or observe as you more than likely get involved. ii. Members fees are set at the following; £15.00 for 6 months. iii. Everyone is welcome to attend, paying the visitor fee on attendance or half yearly membership as requested. iv. Payment of fees is expected to be made in good time, in that you would be expected to pay your membership on request and as close to the date as possible. There is no penalty for late payment but also no discount. At the clubs discression it may be that you join the club late in the calender and it may be easier to request you to pay as a visitor until the next round of memberships are due. v.i Early payment is perfectly acceptable. 3. Visiting The Club i. Timekeeping is of the essence. The club running times are 6PM to 9PM. Boards may be setup prior to this time and is the responsibility of the players, feel free to come down and get setup so that you will be able to kick off earlier. Time will be called 15 minutes from the end of the session to allow adequate time to pack-up. ii. Signing In book will be kept at the entrance and will be required to be signed when you come in. This is a requirement for safety reasons as well as allowing current members to mark themselves in. Visitors will also be required to sign their name in, and are expected to pay promptly “on the door” iii. The Code of Conduct (as per Point 5) is to be observed by all visitors of the club. 4. Obligation of Members Each member shall make every effort to observe the following; i. Abide by the Code of Conduct, failure to do so may result in revoked membership. ii. Support and participate in club discussions when called (these may be to address current issues or raise points for expansion/improvement) iii. Pay subscriptions in a timely fashion. 5. Obligation of Captains Each game system captain shall make every effort to observe the following; i. All points highlighted under “Obligation of Members” (ref 4.i – 4.iii) They will also have the additional roles/responsibilities; ii. You may be asked to carry some stock terrain for your game system. iii. Make judgment calls on game situations which may arise which players do not agree on. iv. Make appropriate house rules with any commonly debated game issues, or issues which arise during game play at the club. v. Be the “go to man” or “main point of contact” for new members wishing to get into the game system, either running demo games/walkthroughs or arranging games with other players of appropriate skill level. 6. Suspension and Revocation i. Members who in spite of reminders, are in arrears of payment of subscription, or have failed to comply with obligations defined in this Constitution, or the decisions of the administration team, shall be suspended from participating in the activities of the HWGC for a period of time, expressed at the time of suspension (dependant on severity). ii. Any member on suspension who, at the end of the period provided (as per 6.i) who wished to rejoin or attend as a guest is welcome to do so, and will need to contact a member of administration via the HWGC forum. iii. Withdrawal - Any member wishing to withdraw from the club may do so however fees are non-refundable. 7. Settlement of Disputes Any dispute between members of the HWGC arising from the interpretation or application of this Constitution shall be settled amicably by discussions with administration. 8. Table Space Allocation i. First Come First Serve will be the standard format for table space allocation. ii. Upcoming Meets and Table Allocation will be displayed on the HWGC forum, whereby a topic will be created for each upcoming meet and people may reserve their tables there. Tables can also be reserved by speaking to administrators at a meet and when the new topic is created, the reserved table will be added to the list. Again this will all be first come first serve (ref. 8.i). iii. Table Availability is high, the club are investing in more boards as it grows. Additional tables are available from the venue for both gaming and equipment storage. However any of these accessed would be the responsibility of the club member to pack up when finished. iv. Block Booking of tables is strictly not allowed. Equally members will be monitored to ensure that they simply do not book the larger tables on several consecutive weeks at the expense of other gamers. If an administrator or game system captain notices this then when booking a table you may be told that you are booked for a smaller table however in the event of the larger table simply not getting booked or a “no show” on the day you will be allocated the booking. v. Large Tables are currently issued in the following manner; - 2 off 6x4 tables available for all non-Games Workshop game systems - 2 off 6x4 tables available for all Games Workshop systems (currently split 1 off for Fantasy and 1 off for 40K) 9. Code of Conduct i. Players/spectators will respect other players figures/models and not pick them up from the table during a game or remove them from their trays/storage unless invited. Likewise do not interrupt play with rules advice unless invited. ii. The club terrain is there for your enjoyment of the game, treat it with the respect you would your own equipment. Some terrain may be personal equipment and used at the club on a semi permanent basis please respect this. iii. Dice and measure/tape are considered personal equipment and should be supplied by the player where possible. If your game requires specific tokens markers or templates these are also considered personal iv. Rosters must be kept by all players prior to play and it is expected that the game is already pre-arranged and as such no roster writing necessary on the day. Captains may check rosters for validity. Open/closed rosters are game system specific and agreed with the captain. v. WYSIWYG – what you see is what you get. This rule is in force across all game systems generally, and should be considered during roster writing. Game system captains will better explain any specific rules they may have regarding this. vi. Do not waste time arguing a rule point, contact the game system captain or dice for it (evens You odds Me) and look it up after the game. vii. Unless scenario specific, Terrain will be placed by a third party. Once the terrain has been placed you do not move it, you cannot expect to arrive on the battle field and move a hill or buildings just because you don't like where they are. viii. Keep noise and taunting of your opponent to an acceptable level . No one likes a "Beardy" player and everyone Hates a "Smug Beardy" player, in our experience these people generally lose out as other people stop playing against them. ix. Bad language is not necessary and will not be tolerated. x. Respect other players and other games going on around you. xi. Respect the facility we are using. You pay for it, Don't be the one to lose it. 10. Miniature Presentation i. Painted Miniatures Painted miniatures are not required for smaller tables (e.g. 4x4) Miniatures are required to have standard base coats applied when being used on a 6x4 table. Base coats constitute a 3 colour minimum. This can simply be 3 tones of a basic army colour or 3 seperate base colours. ii. Basing Miniatures Miniatures intended for play must all be appropriately based regardless of table size in use. This is to allow ease of play for all parties involved, as well as ensuring that time is not wasted during any movements of poorly based miniatures.
